Privacy Policy
How we collect, use and protect your data.
Who we are
Telvu Ltd ("we", "us", "our") provides Telvu, an AI phone receptionist service for UK restaurants. We are the data controller for personal data collected through this website and for data we process in running the service (see the data-protection roles section below for calls). Our details:
- Company: Telvu Ltd, registered in England and Wales, company number 17361767.
- Registered office: 14 Raleigh Crescent, Stevenage, SG2 0EQ.
- Contact: frankie@telvu.ai · 07424 046255.
This policy explains what personal data we collect, why, and what rights you have — whether you are a restaurant using Telvu, or a customer who has called a restaurant that uses Telvu.
What personal data we collect
Depending on how you interact with us, we collect and process:
- Enquiry details you give us directly — your name, phone number, email, restaurant name and town (e.g. via the booking, contact or calculator forms).
- Restaurant account & configuration data for businesses using Telvu — menu, opening hours, prices, policies and similar operational information.
- Caller data from answered calls — the caller's phone number, any name they give, and the details of what they ask for (order items, booking date/time and party size, or the substance of a complaint).
- Call audio and transcripts — a recording and/or written transcript of calls answered by Telvu on a restaurant's line, which will contain whatever the caller says.
- Website usage data — basic analytics (e.g. pages visited) only where analytics are enabled. No analytics or advertising cookies run unless a cookie-consent mechanism is in place.
We do not intentionally collect special-category data, and ask that callers do not share it.
Call recordings and transcripts
Telvu answers calls to a restaurant's phone line. To do that accurately — to take an order, confirm a booking, log a complaint, and give the restaurant a written record — calls may be recorded and transcribed, and the audio may be processed by our speech and AI providers (see the processors section).
- Callers are told at the start of a call that it is answered by an AI assistant and may be recorded, so they can choose how to proceed.
- Recordings and transcripts are used only to provide and improve the service for that restaurant, and are not sold or used for unrelated purposes.
- A caller can ask the restaurant, or us, to delete the call data relating to them — see the "your rights" section.
Data-protection roles (controller / processor)
For calls to a restaurant's line, the restaurant is the controller of its customers' call data and Telvu acts as a processor on the restaurant's behalf, under a data processing agreement. For this website and our own enquiry data,Telvu Ltd is the controller.
Why we use your data (lawful basis)
Under UK GDPR we rely on:
- Contract — to provide the service a restaurant has signed up for.
- Legitimate interests — to operate, secure and improve Telvu, to record and transcribe calls so the service works, and to respond to enquiries you send us (balanced against your rights).
- Consent — where required, for example for optional marketing or for non-essential cookies.
- Legal obligation — to meet our accounting, tax and other legal duties.
How long we keep it
We keep personal data only as long as we need it:
- Call transcripts and recordings — kept only as long as needed to provide the service and give the restaurant its records, and no longer than necessary. A restaurant can set a defined retention limit, and you can ask us to delete specific call data at any time.
- Enquiry / lead form submissions — kept while we deal with your enquiry and for no longer than necessary afterwards. You can ask us to delete them at any time.
- Account and billing records — kept for as long as the restaurant is a customer and for the period we are legally required to retain financial records afterwards.
Who we share data with (processors)
We use a small number of trusted service providers ("processors") to run Telvu. They may process personal data only on our instructions and under contract. Our providers include:
- Telephony & messaging — Twilio (call connectivity, SMS, and WhatsApp delivery), and WhatsApp / Meta for owner notifications.
- Speech & AI — speech-to-text, language-model and text-to-speech providers used to understand and answer calls (Deepgram, OpenAI and Cartesia).
- Hosting & infrastructure — our website and application hosting and database providers (Vercel and Railway).
We do not sell personal data. Some providers may process data outside the UK; where they do, appropriate safeguards (such as UK/EU-approved transfer mechanisms) apply.
Your rights
Under UK GDPR you have the right to access, correct, delete, or restrict use of your personal data, to object to certain processing, and to data portability. To exercise these rights, contact us at frankie@telvu.ai. If your data relates to a call to a specific restaurant, we may need to work with that restaurant (as controller) to action your request.
You also have the right to complain to the UK regulator, the Information Commissioner's Office (ICO), at ico.org.uk, though we'd appreciate the chance to help first.
